Part Time Office & Volunteer Coordinator

Job Description
The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and manage volunteer resources to assist in the delivery of the organization’s programs and services. This includes working directly with volunteers, conducting new volunteer orientation, and managing volunteer shift schedules. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. This position will start as part-time but is expected to expand to full-time in 9-12 months.

• Strong verbal and written communication skills
• Organized, detail-oriented
• Proficient in basic computer skills, including email and knowledge of MS Word, Excel, and Publisher
• Preference for an individual with proficiency in databases, Adobe InDesign, Acrobat, and WordPress
• Effective leadership skills
• Comfortable with public speaking
• Self-directed
• Ability to multi-task and work independently

Office Coordinator Responsibilities
• Answer and reply to phone, email, and general information inquiries using a professional and courteous manner; direct such inquiries to the appropriate board members and volunteers as needed
• Greet museum visitors and volunteers in a professional and friendly manner
• Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents • Provide administrative and secretarial support to Board President
• With the Board President, prepare meeting agendas and supporting material for distribution
• Coordinate facility rental program

Volunteer Coordinator Responsibilities
• Develop and implement goals and objectives for the volunteer program which reflect the mission of the organization
• Manage weekly volunteer schedule
• Conduct ongoing evaluation of the programs and services delivered by volunteers and implement improvements as necessary
• Develop, administer, and review policies and procedures which guide the volunteer programs and services, and reflect the overall values of the organization
• Promote the volunteer program and the organization to garner community support.
• Orient volunteers to increase their understanding of the organization, its services, and the role and responsibilities of volunteers
• Ensure that volunteers are given appropriate training to be successful in their positions
• Ensure that volunteer check-in procedures are followed and records of volunteer hours are maintained according to established procedures Experience 1-3 years of experience in an office setting; familiarity with the role of volunteers in a nonprofit organization
